• Department Secretary - Orthopedic Associates (Part Time)

    Title:  Department Secretary – Orthopedic Associates
    FTE:  0.75 FTE (30 hours per week)
    Schedule:  Weekdays between 7:30AM – 5:00PM
    Holiday Rotation:  None
    Weekend Rotation: None
    On Call Requirements: None
    Performs a variety of daily duties, usually involving multi-tasking, to support assigned physician.  Manages physician schedule for both surgical and outpatient visits.   

    1. Manage assigned physician schedule including clinic appointments, procedures, surgeries.
    2. Schedule surgeries, tests, referrals and other appointments for patients.  Provides patient education regarding same.
    3. Assist in completing paperwork such as worker’s compensation forms, insurance forms or legal forms for patients.
    4. Request and manage medical records as needed.
    5. Complete prior authorization process with health insurance providers.
    6. Function as liaison between assigned physician and external departments within SPHC and/or other healthcare organizations such as:  surgery, radiology, acute care, pharmacy, ER, therapy, assisted living centers, nursing homes, etc.
    7. Respond to all patient phone calls and walk in visitors.
    8. Assist with clinic flow (e.g., room patients, pull charts, escort patients as required, etc.)
    9. Call in prescriptions for patients to pharmacies.
    10. Transfer billing data into electronic system (charge entry) for billing purposes.
    11. Respond to requests for medical records ensuring appropriate release information is provided.
    12. Research new products and equipment for Orthopedic Associates.
    13. Act as a purchasing liaison with the Materials Management department and/or work with vendors directly.
    14. May perform coding functions.
    15. Improve own and/or department performance by practicing quality improvement principles in daily work, focusing on process and system improvements and increasing customer satisfaction.
    16. Maintain confidentiality of all patient and facility information at all times, both while on and off duty.
    17. Attend mandatory hospital and department meetings.
    18. May serve on committees or work groups as requested or assigned.
    19. Provide coverage for other physician staff as required. 
    20. May assist in training new hires.
    21. Perform other duties as assigned.
