Title: Department Secretary – Orthopedic Associates
FTE: 0.75 FTE (30 hours per week)
Schedule: Weekdays between 7:30AM – 5:00PM
Holiday Rotation: None
Weekend Rotation: None
On Call Requirements: None
POSITION SUMMARY
Performs a variety of daily duties, usually involving multi-tasking, to support assigned physician. Manages physician schedule for both surgical and outpatient visits.
POSITION TECHNICAL RESPONSIBILITIES- Manage assigned physician schedule including clinic appointments, procedures, surgeries.
- Schedule surgeries, tests, referrals and other appointments for patients. Provides patient education regarding same.
- Assist in completing paperwork such as worker’s compensation forms, insurance forms or legal forms for patients.
- Request and manage medical records as needed.
- Complete prior authorization process with health insurance providers.
- Function as liaison between assigned physician and external departments within SPHC and/or other healthcare organizations such as: surgery, radiology, acute care, pharmacy, ER, therapy, assisted living centers, nursing homes, etc.
- Respond to all patient phone calls and walk in visitors.
- Assist with clinic flow (e.g., room patients, pull charts, escort patients as required, etc.)
- Call in prescriptions for patients to pharmacies.
- Transfer billing data into electronic system (charge entry) for billing purposes.
- Respond to requests for medical records ensuring appropriate release information is provided.
- Research new products and equipment for Orthopedic Associates.
- Act as a purchasing liaison with the Materials Management department and/or work with vendors directly.
- May perform coding functions.
- Improve own and/or department performance by practicing quality improvement principles in daily work, focusing on process and system improvements and increasing customer satisfaction.
- Maintain confidentiality of all patient and facility information at all times, both while on and off duty.
- Attend mandatory hospital and department meetings.
- May serve on committees or work groups as requested or assigned.
- Provide coverage for other physician staff as required.
- May assist in training new hires.
- Perform other duties as assigned.
