    POSITION SPECIFICS
    Title:  Department Secretary – Orthopedic Associates
    FTE:  1.0 FTE (40 hours per week)
    Schedule:  Weekdays between 7:30AM – 5:00PM
    Holiday Rotation:  None
    Weekend Rotation: None
    On Call Requirements: None
      
    POSITION SUMMARY
    Performs a variety of daily duties, usually involving multi-tasking, to support assigned physician.  Manages physician schedule for both surgical and outpatient visits.   
     
    POSITION TECHNICAL RESPONSIBILITIES

    1. Manage assigned physician schedule including clinic appointments, procedures, surgeries.
    2. Schedule surgeries, tests, referrals, and other appointments for patients. Provides patient education regarding same.
    3. Manages Labs/H&P/Appropriate documentation for upcoming surgeries.
    4. Ensure all information and test results are back prior to surgery date and that patient is cleared for surgery.
    5. Order all DME for patients to use to aid in their post-op recovery. (ROMTECH, CPM’s, etc.)
    6. Enter electronic orders once surgery is scheduled.
    7. Assist in completing paperwork such as worker’s compensation forms, insurance forms or legal forms for patients.
    8. Request and manage medical records as needed to complete surgery scheduling and prior authorizations.
    9. Complete prior authorization process with health insurance providers on an emergent c need basis only.
    10. Send imaging orders as well as any supporting documentation to the pre-encounter team to process all other non-emergent prior authorizations.
    11. Function as liaison between assigned physician and external departments within SPHC and/or other healthcare organizations such as: surgery, radiology, acute care, pharmacy, ER, therapy, assisted living centers, nursing homes, etc.
    12. Respond to all patient phone calls and walk in visitors.
    13. Assist with clinic flow (e.g., room patients, pull charts, escort patients as required, etc.)
    14. Respond to requests for medical records ensuring appropriate release information is provided.
    15. May perform coding functions. (When scheduling surgeries)
    16. Improve own and/or department performance by practicing quality improvement principles in daily work, focusing on process and system improvements, and increasing customer satisfaction.
    17. Always maintain confidentiality of all patient and facility information, both while on and off duty.
    18. Attend mandatory hospital and department meetings.
    19. May serve on committees or work groups as requested or assigned.
    20. Provide coverage for other physician staff as required.
    21. May assist in training new hires.
    22. Perform other duties as assigned.

    • Preferred:  1-2 years’ experience in a medical office setting; Medical terminology and computer knowledge necessary
