    JOB SUMMARY:

    To provide professional, positive and quality service in a busy environment by providing effective communication services. Responsibilities included handling phone calls and walk-ins for appointment scheduling with providers and other resources. Checks Patients in for appointments, updating demographic information and alerting medical staff that patient is checked in. Handle virtual appointment registration, switchboard operating, documents electronic messages and follow up of paging. Responsible for collecting payments helping patients with simple billing questions at the window as needed.

    ESSENTIAL FUNCTIONS:

    Appointments:

    1. Greets all incoming patients courteously and professionally.

    2. Makes appointments in computer (using keyboard and mouse) for providers and other resources by screening patients to allow efficient time for problem, either in person virtually or over the phone (headset).

    3. Follows clinic policies for scheduling appointments per provider preferences.

    4. Obtains patient information, name, and date of birth, phone, and address by using Phreesia tablet.

    5. Verifies insurance information and explains billing policies.

    6. Makes changes in computer to keep providers schedules up to date.

    7. Coordinates appointments for Drug representatives.

    8. Tells patients that Co-pays will be collected at the time of service, refer to Billing Specialist as needed.

    9. Make virtual (telehealth) appointments.

    10. Reschedule appointment when provider is out of office.

    11. Reminder calls for patients next day appointments.

    Switchboard:

    1. Answer questions of caller according to Clinic policy.

    2. Documents electronic messages, pages or forwards the calls to the appropriate department, medical staff or provider.

    Receptionist

    1. Obtains new patient information using our phreesia pad for all new patients and verify and enter information into computer, including patient’s demographics, insurance information and relationship or guarantor information.

    2. Register patient virtually for telehealth visit.

    3. Verifies address and insurance with established patients for accuracy, updating patient record as necessary in the electronic chart.

    4. Updates Privacy Notices information each patient in computers system upon check in.

    5. Attaches correct insurance to each patient visit.

    6. Requests Co-pay or other amounts due from patients, documents in payment log and writes receipts.

    7. Alerts Medical Staff that a patient has checked in by printing CIAform at correct nurse’s station.

    8. Hands out medication samples, prescriptions and other documents that have been completed and are at the receptionist window for pick up.

    9. Communicates courteously and professionally with other departments.

    10. Maintain regular consistent and professional attendance, punctuality, personal appearance and adherence to relevant health, privacy and safety procedures.

    Patient Accounts:

    1. Collects new Work Comp, Liability accounts in computer and makes changes before patient is seen, if possible. Review information for completeness and verifies information as necessary.

    2. Answers simple billing questions.

    3. Handles daily receipts & balances the payments.

    ADDITIONAL FUCTIONS:

    1. Maintains strict Confidentiality.

    2. Assist other departments as requested or assigned.

    3. Operate a variety of standard office machines. Including a personal computer, phone, fax, Phreesia pad, virtual registration, photocopy machine, and printers.

    4. Performs duties as required.

    Pay: From $18.00 per hour
